FULL TIME – OFFICE COORDINATOR
The Office Coordinator's role is critical for making sure our company is working efficiently and effectively. The Office Coordinator takes calls from customers and potential customers. Schedules inspections and projects based on location, project type, and team member availability. Enters job information completely in our CRM. Makes sure that the job calendar is updated and notifies team members appropriately. Confirms all appointments with customers. Makes sure all contact information and address information is correct. Keeps customers updated throughout the project. Enters all communications in the CRM. Since our Team is mostly in the field, it is important for the Office Coordinator to field calls and answer customer questions. So, the Office Coordinator is also involved in team meetings and updating the CRM with job progress so that the OC can answer customer questions and send customer updates. The Office Coordinator is also involved in general administrative support for the management and production team.

Responsibilities –
- General office duties including answering phones, replying to emails, record keeping & filing, and scheduling appointments.
- Runs project calendars and job board.
- Handles Customer Communications including sending project progress reports, confirming appointments, and answering questions.
- Orders materials when needed for projects.
- Schedules subcontractors and other trades for projects.
- Updates CRM with all customer communication, project updates, subcontractor information, and all project details.
- Creates progress reports with photos and sends to customers.
- Makes sure all project paperwork is completed, sent to appropriate parties, filed and uploaded.
- Creates organized and detailed project notes.
Requirements:
- Excellent organizational skills.
- Strong communication skills.
- Must have proficient computer skills including MS Word & Excel.
- Must be reliable and punctual. Office hours are 8:00am to 4:30pm.
- Professional demeanor and appearance.
- High School Diploma or GED
Experience:
- At least 2 years office experience.
Pay:
- $ 19 to $ 21 per hour. Pay is commensurate with experience
